Job Description
Assist with daily operations of small town Optometry office. Includes opticianry duties and appointment scheduling, providing patients paperwork, filing insurance claims, pre-testing patients, aiding patients with glasses selection, ordering glasses and contacts, communications with labs regarding glasses orders, HIPAA compliance, maintaining patient records, etc…
Office assistant duties including answering phones, logging patient appointments, maintaining inventory, bill pays, managing packages and shipments, maintaining office and business records, cleaning/sanitizing equipment, maintaining company website and phone leads, etc…
Qualifications:
Experience with optometry/opticianry/ophthalmology, preferred but not required
REQUIRED:
Computer proficiency Proficient in Microsoft office
Proficient in internet navigation and online communication
Good written and oral communication skills
Proficient computer and typing skills (order entry skills, keyboard navigation, etc)
Excellent time management
Multitasking
HIPAA compliance knowledge
Knowledge of proper phone etiquette

You must be able to work well with minimal or no supervision and have the ability to prioritize tasks to keep office flow going and meet deadlines and practice management needs. You must be able to learn, follow and strictly adhere to office procedures and standards as set forth by the owner and manager.
The ideal candidate will be a quick learner, efficient at completing work tasks, customer oriented, detail oriented and able to take guidance and follow instructions. This type of office requires certain measures to remain compliant in our field and we need staff who understand that and are willing to follow the procedures and guidelines set forth for efficient, effective and compliant operation of our business.
This job is Monday through Friday. Hours may vary due to flux of patient appointments and the doctor’s schedule at various locations for appointments, but standard office hours for administrative duties are typically within 10:30am-3:30pm. We are looking for someone to start as a supplemental office staff member. For the right candidate, this could become a more permanent position. We are opening a second location in Goucester and will need additional staff to support the operation of both offices.
This is currently a cash paid job. We are working on setting up with a payroll company as our business expands, but are not currently. We are unable to provide W-2 or employment verification documentation at this time.
